How to create other fees for a semester?

## A. Open the Semester Fees Structure screen

In the left-hand menu search box, type “Fees”.
  1. Click Fees Structure (FS) to expand the dropdown.
  2. From the dropdown list, click Semester Fees Structure (SFS). This opens the page where you manage fees for each semester.

## B. View existing Semester Other Fees



3. At the top of the Semester Fees Structure page, click the SEMESTER OTHER FEES tab.
    - This shows all “other fees” that have already been configured for the selected academic year and semester (e.g. meals).
4. To add a new fee, click the ADD SEMESTER OTHER FEE button on the top-right of the page.
    - A form titled CREATE NEW OTHER FEE will open.

## C. Fill in the “Create New Other Fee” form

In the CREATE NEW OTHER FEE form, complete the following fields:

5. Campus

     - Select the Campus where this fee should apply (e.g. University Campus).

6. Semester

     - Choose the Semester that this fee applies to (e.g. Easter-2025, Trinity-2025).

7. Student Type

In the Student Type field, choose exactly who this fee should apply to:

  • International Physical
    For students who are international and study physically on campus.

    Commonly undergraduate students who have come to Uganda and attend classes on campus.

  • International Online
    For students who are international and study fully online.

    Commonly postgraduate students who are outside the country but registered on online programmes.

  • Physical
    For students who are national (local) and study physically on campus.

    Mainly undergraduate students who attend classes and use campus facilities.

  • Online
    For students who are national (local) and study fully online.

    Mainly postgraduate students who do not come to campus regularly.

  • Blended amount (no other fees)
    Use this option when a student does not pay any of the usual other fees (e.g. no meals, no boarding, etc.), but you still need to capture a single blended amount that the student has typed/been given.

    This is a special case to handle students whose charges are combined instead of using the normal other-fee breakdown.

Make sure you select the correct student type, because it controls who will actually be billed for this fee.

8. Other Fee Type

In the Other Fee Type field, pick the correct type of fee you are setting up:

  • Graduation Other Fees Bachelors
    Fees charged to a Bachelor’s student at the time of graduation (one-time graduation fees for bachelor programmes).

  • Graduation Other Fees Certificate
    Fees charged to a Certificate student when they are graduating.

  • Graduation Other Fees Diploma
    Fees charged to a Diploma student when they are graduating.

  • Graduation Other Fees Masters
    Fees charged to a Master’s student at graduation.

  • Graduation Other Fees PhD
    Fees charged to a PhD student at graduation.

  • Graduation Other Fees Postgraduate Diploma
    Fees charged to a Postgraduate Diploma student at graduation.

  • Semester Other Fees
    Use this option for normal semester-based fees that are charged during study, not at graduation
    (e.g. meals, medical, ICT, development fee, etc.).

Use any of the “Graduation Other Fees …” options only when the fee is paid because the student is graduating in that award category.
Use “Semester Other Fees” for regular fees paid during the semester.

## D. Save the Semester Other Fee

     - After confirming all details are correct, click SAVE BOARDING FEE (or the save button at the bottom right).

     - The new fee will now appear in the Semester Other Fees list for the selected semester and campus.
